In-service Trainee: Reservations (Event Management/ Hospitality) | CSIR

The CSIR International Convention Centre (ICC) is a dedicated, purpose-built convention centre catering for the medium-sized convention market hosting over 600 local, national and international conferences and other types of events annually. The CSIR ICC’s reservation office has a vacancy for students who are about to complete their academic training in part fulfilment of their national diplomas in the disciplines stipulated below. This position is based in Pretoria.

The CSIR ICC in-service training programme aims to expose students to the work environment for a period of 6 months with workplace learnership in fulfillment of their National Diploma.

Key responsibilities:

Reception

  • Print follow up report from Rendezvous (booking system)
  • Pull enquiry sheets & files for follow up
  • Place in relevant Event Coordinator’s tray
  • File documents
  • Make copies of event sheets

Reservations Office

  • General assistance with events (i.e. obtaining quotes for décor, flowers etc.)
  • Attend event sheet meeting
  • Check venues (as per event sheet) with Event Coordinator
  • Meet, greet & orientate clients with Event Coordinator
  • Assist Reservations Office Manager with updating and/or correcting client information on Rendezvous (booking system)

Sales

  • Assist Sales Manager:  New Business with registering CSIR ICC on Government and other procurement databases and do research of databases CSIR ICC is not yet registered with.
  • Assist Sales Manager:  New Business with updating sales calls databases
  • Conduct research to find contact details of event organisers in the different market segments.

Customer Relations

  • Hand out client evaluation forms to all organizers in the morning
  • Follow up with clients in the afternoon to collect these forms
  • Capture the data for the monthly Client & Delegate Feedback report
  • Collect all delegate feedback forms from reception for data capture
  • Walk around and talk to clients & delegates during tea/lunch breaks with CRM
  • Compile daily comments for a weekly feedback report
  • Attend weekly event sheet meetings
  • Sift out all VIP information from the event sheet and inform relevant parties thereof
  • Sift any shuttle / transport requirements from the event sheet and book shuttle services accordingly

Qualifications and skills:

  • The minimum education qualification will be the completion of at least two years’ theoretical component of a national diploma in hospitality management or events management.
  • An outstanding academic record for the two years of study.
  • Strong interpersonal skills and the ability to work flexible hours in a dynamic environment would be an advantage
