In-service Training: Reservations Office, Sales and Customer Relations (Six month contract)

The CSIR has an In-service Training opportunity at the International Convention Centre. The programme aims to expose students to the work environment and provide them with workplace experience required to fulfill their qualification. This position is based in Pretoria.

About the centre:

The CSIR ICC is a dedicated, purpose-built convention center catering for the medium-sized convention market hosting over 600 local, national and international conferences and other types of events annually.

Key responsibilities:

  • Manage switchboard by answering and directing calls;
  • Assist with signage;
  • Manage the reception desk of the ICC;
  • Manage the reservations office (this includes filing, events coordination, bookings and other administration duties);
  • Welcome all clients and delegates at the centre;
  • Capture information of all delegates feedback and client evaluation forms;
  • Conduct annual quality management reviews;
  • Provide customer relations services to day visitors;
  • Update sales call database;
  • Conduct research and sales calls.

Qualifications, skills and experience:

  • Currently enrolled for a three year qualification in hospitality management (must have completed two years’ theoretical component of the qualification);
  • An outstanding academic record for the two years of study;
  • Strong interpersonal skills and the ability to work flexible hours in a dynamic environment would be an advantage;
  • Computer skills (Microsoft Office);
  • Language proficiency (English spoken and written);
  • Ability to pay attention to detail and accuracy;
  • Ability to be systematic;
  • Good interpersonal and communication skills;
  • Good time management skills.

CSIR ICC Marketing Department has a vacancy for an In-service Trainee: Public Relations & Marketing who will be assisting the Marketing Coordinator to carry out marketing and public relations activities for the centre.

Key responsibilities:

  • Sourcing services photographer/s to take pictures  and maintain stock of images of the Centre to be used in marketing material

The CSIR ICC’s reservation office has a vacancy for students who are about to complete their academic training in part fulfilment of their national diplomas in the disciplines stipulated below. This position is based in Pretoria.

The CSIR ICC in-service training programme aims to expose students to the work environment for a period of 6 months with workplace learnership in fulfillment of their National Diploma.

Key responsibilities:

Reception

  • Print follow up report from Rendezvous (booking system)
  • Pull enquiry sheets & files for follow up
  • Place in relevant Event Coordinator’s tray
  • File documents
  • Make copies of event sheets

Reservations Office

  • General assistance with events (i.e. obtaining quotes for décor, flowers etc.)
  • Attend event sheet meeting
  • Check venues (as per event sheet) with Event Coordinator
  • Meet, greet & orientate clients with Event Coordinator
  • Assist Reservations Office Manager with updating and/or correcting client information on Rendezvous (booking system)

Sales

  • Assist Sales Manager:  New Business with registering CSIR ICC on Government and other procurement databases and do research of databases CSIR ICC is not yet registered with.
  • Assist Sales Manager:  New Business with updating sales calls databases
  • Conduct research to find contact details of event organisers in the different market segments.

Customer Relations

  • Hand out client evaluation forms to all organizers in the morning
  • Follow up with clients in the afternoon to collect these forms
  • Capture the data for the monthly Client & Delegate Feedback report
  • Collect all delegate feedback forms from reception for data capture
  • Walk around and talk to clients & delegates during tea/lunch breaks with CRM
  • Compile daily comments for a weekly feedback report
  • Attend weekly event sheet meetings
  • Sift out all VIP information from the event sheet and inform relevant parties thereof
  • Sift any shuttle / transport requirements from the event sheet and book shuttle services accordingly

Qualifications and skills:

  • The minimum education qualification will be the completion of at least two years’ theoretical component of a national diploma in hospitality management or events management.
  • An outstanding academic record for the two years of study.
  • Strong interpersonal skills and the ability to work flexible hours in a dynamic environment would be an advantage

Banqueting

  • Set up banquets
  • Set up houseman ship and meeting venues.
  • Do banqueting waiter and drink service.
  • Responsible for bar service, stock control, procedures, billing systems and cash registers.
  • Do function recons/Bev Stocktaking/Planning/Event Supervision andEquipment stock take.

The CSIR: Defence, Peace, Safety and Security (DPSS) unit has 10 vacancies for In-service Trainees. The unit positions itself as the strategic science, engineering and technology (SET) partner of state departments and agencies in defence, peace, safety and security, as well as the aerospace-related industry. As such, it develops its people to operate as experts in SET disciplines and to have systems insight and application domain understanding. It contributes to the national need for skilled SET people through programmes with universities and leading laboratories.

The unit has a number of positions for outstanding undergraduate students in the following competency domains:

  • Aeronautic systems;
  • Command control and information warfare;
  • Landwards sciences;
  • Optronic sensor systems;
  • Radar and electronic warfare; and
  • Technology for Special Operations.

Key responsibilities:

  • Design, plan and execute experiments under supervision.
  • Assist in test set-ups.
  • Maintain good housekeeping and safety practicesin-depth analysis and objective interpretation of data under supervision.
  • Contribute to writing reports and manuscripts.
  • Contribute to presenting data in a poster format or orally.
  • Perform operational responsibilities including, infrastructure, equipment, GLP and SHE.

 

Qualifications, skills and experience:

  • The minimum education qualification will be the completion of at least two years’ theoretical component of a national diploma or a Bachelor’s degree in engineering & P1 with completed academic subjects.
  • Candidates must be able to demonstrate an in-depth understanding of theory with the ability to apply knowledge.
  • A strong work ethic (e.g. accountability and reliability) and the ability to work under supervision within a dynamic team environment.
