Sanlam invites applications for their 12-months HR Administrative Assistant Intern: Group Human Resources position based at their Bellville, Cape Town. Under general supervision, performs a limited variety of clerical duties for functional groups involving compiling and arranging data, making standard computations, processing and coding documents and maintaining records and files. Background 

Wits Health Consortium (Pty) Limited (“WHC“) is a wholly-owned Company of the University of the Witwatersrand, Johannesburg (South Africa) under its Faculty of Health Sciences. WHC provides Faculty with a legal framework within which to operate the research and other activities necessary to support its academic objectives. In addition, WHC offers a range of products and services to the Academics conducting these activities in order to assist with the management thereof. 

The Clinical HIV Research Unit (Wits CHRU) was initiated in 1998 by Professor Ian Sanne, under the auspices of the University of the Witwatersrand (WITS).  Today the CHRU is an HIV/AIDS, TB, and Cervical Cancer research syndicate of the Wits Health Consortium (Pty) Limited (WHC), which is a wholly-owned subsidiary company of WITS.

Main Purpose of the job

To assist with providing Human Resource Services, inclusive of all Human Resource Disciplines

Key performance areas

  • Facilitate the recruitment and selection process within the unit in conjunction with the relevant line managers.
  • Provide advice and facilitation of all facets of industrial relations, inclusive of scheduling disciplinary inquiries, grievances, and operational requirements.
  • Provide advice and facilitation of the performance management process within the unit, inclusive of probation, performance appraisals, and poor work performance counselling.
  • Generate all required HR administration within deadlines.

Required minimum education and training

Human Resources Degree/ Diploma

Desirable additional education, work experience, and personal abilities

  • Proficient in Microsoft Office.
  • High level of integrity.
  • Ability to work under pressure with tight deadlines.
  • Good communication skills and excellent planning and organizing skills
  • Must have a high level of customer service orientation and the ability to adapt to a consistently changing environment.

Required minimum work experience

1-year general administration experience.

  • Assist with coordination of career fairs and graduate recruitment at tertiary institutions.
  • Coordinate assessments when necessary for potential candidates.
  • Arrange for background checks for potential candidates (criminal, credential, qualifications, references).
  • Arrange for pre-employment medicals with the Clinic Sister.
  • Receive all take-on documentation required to complete take-on process for payroll (EEA1, new employee take on form, copy of ID, copy of CV, copy of matric, copy of bank statement).
  • Ensure that all recruits have a signed contract of employment and ensure Payroll has a copy (Production)
  • Draft and distribute extension and termination letters.
  • Assist with minute taking in Employment Equity committee meeting.
  • Assist with minute taking in shop steward meeting when required.
  • Be an interpreter during disciplinary hearing when required.

  • Check and verify that all leave is captured with sick notes attached on SAGE. Use the T&A system to validate where appropriate.
  • Understand the importance of Time and Attendance system to payroll – update with new or existing employee details. Details of what is loaded, timeously loaded on etc.
  • Exposure to the Weekly and Contractor payroll processing including deadlines, cut off dates, processing time sheets, etc.
  • Assist with yearend bonus and leave pay processing. Tracking of bonus provision forms.
  • Assist with monthly financial reporting – preparation of journals, headcount reports and man hours report.
  • Understand the audit and data integrity requirements when performing payroll function.
  • Assist employees with any HR related inquiries e.g. payroll, leave, company policies and benefits
  • Assist with compiling documentation or capturing for annual employment equity, BBBEE, SMETA, ISO audits and reporting.
  • Assist in organizing company events e.g. wellness events, medical aid or pension presentations, long service awards (5 year or 10 year plus), learner celebrations, retirees farewell if over 30 years’ service etc.
  • Be aware of all confidentiality requirements pertaining to all payroll and HR activities
  • Perform any other ad hoc duties as and when required

What are the Requirements?

To be considered, applicant should meet the following minimum requirements:

  • Grade 12 / Matric with Math
  • Bachelor’s Degree in Industrial Psychology/ National Diploma or
  • BTech in Human Resources Management or similar
  • Proficient in Microsoft Office 365
  • Understanding of SA labour legislation will be an advantage
